RRS is seeking applications for a full-time Travel & Event Coordinator to assist the marketing manager and client project managers in coordinating participation at conferences, travel logistics, hosting special events, and conducting meetings.

 

 

Job Responsibilities:

  • Assist marketing manager with executing planned conference activities:
    • Register individuals for conference attendance.
    • Make travel arrangements – including flight, hotel, ground transportation – for RRSers attending conference.
    • Engage conference organizers to secure booth, sponsorship, and/or special events.
    • Coordinate print/shipping needs for collateral, booth structure, etc.
    • Track and report on budget estimates/actual spends.
    • Update conference participation details in Salesforce (client relationship management system).
  • Coordinate special events:
    • Research options for venues (e.g., hotel event space, restaurants, etc.)
    • Engage venue representatives to secure room/facility for special event (e.g., reception, breakfast, dinner, etc.)
    • Coordinate print/shipping needs.
    • Make travel arrangements – including flight, hotel, ground transportation – for RRSers attending.
    • Trace and report on budget estimates/actual spends.
  • Assist client project managers with client event coordination:
    • Assist with conference participation, meeting scheduling, special event planning, etc.
    • Register individuals as client representatives at conferences.
    • Make travel arrangements – including flight, hotel, ground transportation – for RRSers representing client.
    • Engage conference organizers to secure booth, sponsorship, and/or special events.
    • Coordinate print/shipping needs for collateral, booth structure, etc.
    • Update conference participation details in Salesforce (client relationship management system).
    • Research options for special event venues (e.g., hotel event space, restaurants, etc.)
    • Engage venue representatives to secure room/facility for special event (e.g., reception, breakfast, dinner, etc.)
  • Manage Inventory of RRS and client collateral
  • Coordinate memberships to industry associations
  • Provide administrative support as needed

 

Key Qualifications:

  • Strong skill set in conference coordination, special event planning, and travel arrangements.
  • Familiarity with conference protocol (e.g., print lead times, freight/shipment, material handling, furniture/equipment rental, etc.)
  • Organized, self-motivated, and driven.
  • Ability to set work priorities and complete work with minimal supervision.
  • Detail oriented with strong organizational and documentation skills.
  • Excellent verbal and written communication skills – ability to communicate with a variety of personality styles.
  • Ability to manage and coordinate multiple projects and deadlines.
  • Proficiency in Microsoft Word, Excel, Outlook.
  • Knowledge of Salesforce (client relationship management system) a plus.

 

Minimum Qualifications:

  • Three to five years of relevant conference, event, and travel arrangement experience.

Pay Range: $40,000-$48,000/year depending on experience and qualifications. RRS is an equal opportunity employer.
